Chapter 2

Main menu – Sales Group

Part 1.1 – Navigation -> sales

 

This screen will help you to create bills, Tax will calculated automatically, You can see total at the end of the day, daily counting, tax, etc.. can be analyzed daily,weekly, monthly, tri-monthly, yearly, Your cash collected and cash debited can be also analyzed.

 

If there is any mistake in bills then you can resolve it, while billing process you can put one bill on pending and start to create new bill, and again start billing of the pending bill, On this screen you can give change cash back to customer and again back to sales screen, And also can take print out of it.

 

Now let's understand whole process, To do that let's practice it by following screen

In above screen you can see “sales” screen under main menu, And you can see current time in the box that is top of the screen as a “ticket” For example 3:16:968 is the number of the ticket, which is currently blank. So you can start your sales process from here.

Then after whenever you click on “new” button you can see new blank screen and current time in the box. For example if you want to sell five soap of hamam , Here are the ten steps that you need to follow.

 

 

Part1.2 Ten steps of the sales

  1. As above line click on “new” button will generate new ticket with current time.

  2. Use of Keypad : If customer wants to buy more than one item , then click on that number by keypad. for five hamam soap click number (5) five . Then you can see that number will appear between keypad and dropdown box.

    (note: This keypad will only necessary when customer wants to buy more than one quantity of item, else you can skip the step 4th and 5th , click on the product that customer wants to buy, it will automatically appear on the billing screen.) and if you want to add more quantity then click on (+) plus sign , you can see that item's quantity will become double. In that way items will added, and to deduct it click on (-) minus sign of keypad.

  3. As detailed above, If you do not want to use (+) sign for adding, then you can use (*) astrick sign for it. First click on it then add item number you want to sell then click on plus (+) sign , then see that desired quantity will appear on the box.

  4. Keypad and use of dropdown box : when you want to sell anything that is not in the list of your computer, at this time you can use keypad to add product price in the bill, enter the number of amount using keypad amount will appear in the blank box, Also you need to change it's related tax. Then using (+) button of keypad amount will added in the bill. If there is more than one quantity, click (+) to reach that number of quantity. To deduct quantity use (-) minus sign.

  5. Button of Pen icon : This button is useful in editing the bill, For example in above screen after select product by clicking this button new screen will appear which titled by Edit line, which will helpful to edit price, quantity of products. You can also change tax by this screen.

  6. Now if you select product that are not in the stock, It will added in the bill, for example Food products, Select the category of products from the drop down list, then it will added in the bill along with it's vat-tax, price and other details.  

  7. If you want to sell any product (for example Soap) click on from it's category by mouse click. It will appear in the blue line, and at the same time it will appear by it's name and it's picture

  8. From the product list select item that customer wish to buy.

  9. If any item added by mistake, then it can be removed by left button that available in keypad (x). Click it to remove unwanted item.
  10. By following above steps add all the item of customers than click on - icon, that will add all the addition of tax and price and it's total, By clicking – icon at the same time, Following screen named payment will appear.

When customer make payment by cash, cheque, credit card, etc.. click OK button to complete the transaction 

But, If customer pay more than bill then enter the amount either by keypad or by mouse pointer, After entering amount change amount will appear in the box, Click “OK” button to complete transaction. Now you will again navigate to main sales screen. Now you can click print button to take print out of bill.

Note : If products are bar coded , Then just move scanner towards products, And you can direct jump to step Eight click on – icon.

 

1.2.1 Attribute Feature:

There is one new column named 'Attributes'. Currently it is blank

When you make sales of that product like below and click on attributes link, Initially it will give error,

Below procedure is to create attributes of products

 

Administration -> Stock -> Product Attributes


create new three attributes

give each attribute some value, can be numeric also can be text

One attribute can have more than one value, (at the time of billing user can have choice to select, User can select only one from the list )

create some product attribute sets, It is advised to keep their name similar to it's attribute, later it will be as the shown on Title of the window and also attributes will be called by this name.

 

Now it last step match product attribute sets with the product attribute

Now there are two attributes created named ponds and nycil , where nycil is empty and ponds having three attributes ponds small,  ponds medium , ponds large. This three having value

values:
ponds small : 40
ponds medium : 60 and 80
ponds large : jumbo pack

now configure attribute 'ponds' with product 'ponds'

Two option appear in attributes , Now click on 'ponds' option and save it

Now navigate back to sales screen, click below marked button

Note: You can select all three at one time or None is also allowed. I am selecting all three and it will look like below snapshot

Part1.3 Delete Button :

As per part 1.1 there is “delete” button near “new” button in sales screen, Which is useful to cancel or abandon billing process. For some reason if customer want to cancel billing then click delete button to cancel process. By clicking that button Following window will appear. Click “yes” to delete ticket.

Part 1.4 List button :

If you are creating one bill and you want to create another new bill then click “ticket” button to view remaining tickets. It will open following screen that titled “Tickets” , Which shown remaining tickets for example 3:44:453 and 3:55:359 . Now you can select it and also make addition and subtraction in the billing.

Part 1.5 Edit Sales Screen :

 Navigation : -> Edit Sales -> Refund

By below screen you can view the details of old bills that bring back by customers. You can take product back and give refund. The product will again come back to your stock automatically. Let's observe following example to understand whole process.

Look, customer bring back the bill no 12 that look like below screenshot.

  1. Click on button Edit Sales, write number 12 by keypad and click the button with the symbol (_/) right, so the bill will appear in the workarea

  2. Now if you want to refund both products then click on “Refund” button, so you will be navigated to following screen which written “Make the Refund and press OK” then click on button with the symbol (_/). Then another receipt will appear with new bill number.

 . Here you should take back receipt number 12 from the customer and cross mark on it or you can destroy so it will be no longer available in future. Here another bill will created of refund which will be another new number (for example 52). Alternatively you can note down that number on the top of receipt number 12, and join that receipt with old receipt and give back to customer.

 

 

 

 Part 1.6 Edit Sales : Navigation -> Edit Sales ->Edit

 Now, suppose customer bring back product and replace it with another product, Then you can take back customer's receipt and then click on “Refund” button, So it will added in the new bill, Also refund the amount back to customer, It will create a new bill with new amount. And give cash back to customer. You can also mark cross on the old bill. This whole process is like you are making a new bill, It will affect to the stock as per transaction, Means old product will added back to stock and new will deducted.

 

 

Part 2.1 Navigation -> Payments :

This screen all the money that come and went from the store, Shop's money can be spended for some reason or some cash can be added into amount of shop.

For example if you want to deduct some amount for the reason that you have done shopping, Then click on cash(out) and enter that amount into the box. If you want to make another entry for today's miscellaneous spending then again click on cash(out) and enter that amount. In that way if you want to add some amount for example collection of dues.. Then click on cash(in) button.

After every entry click save button to store it , And to make new entry click “new” button.

If entry is of another day except today than you can write down that date with the help of calendar.

 

 

Part 2.2 Navigation -> Close Cash

 When you click on “Close Cash” button following window appear

In this screen you will see Total amount of sales, Total payments, and also due payments. Another box that is below is shown report that included with tax. Total amount will appear on the top of Cash Box and another box that is outside show the total amount that is currently present. You can also verify the same by opening the drawer.

Now when you close the shop at night, Click the “Close Cash” button of above window, Then all the details will disappear then means that today's all transaction will completed, Now you can make new transaction on next day.

Now after clicking “Close Cash” you can also click on button “Closed Cash” so you can see the report of the transaction and also can take print out of it.
